ACM Guidelines

The Ashfield Community Market is operated by the Ashfield Public School P&C as a fundraiser. All funds raised from the stallholder fees go towards the purchase of additional resources for teachers and students at the school. 

We know that social media and word of mouth are the main reasons our community heard about the market. We are committed to continuing our marketing efforts to attract a wider customer base to enhance the market's offerings. 

By reading the Guidelines and paying your stall fee you agree to the terms and conditions of participation in Ashfield Community Market.

Items at the market 

We welcome food and beverage vendors, fresh produce vendors, plants, craft, handmade items, clothing and accessories, vintage clothing and repurposed items. We ask that you clearly display the prices of your products or services. 

Items such as toy guns, cap guns, weapons, noisemakers, 'silly string' or other similar products, are restricted. If items are illegal, offensive or defamatory we won't have it at the markets.

Insurance 

It is essential all vendors have public liability insurance of $20 million. You may purchase your own, or if you are a hobbyist and don't have a business, you can purchase additional insurance directly through us at a rate of $32. This insurance does not cover your products and has a strict cut-off date (the due date on your invoice). If you miss this cut-off date, you will need to source your own insurance. 

Please include your Insurance certificates with your application form if you already have insurance. 

Fees 

Fees are to be paid by bank transfer or credit card by the due date on your invoice. Your invoice will be sent to you from a separate email address on the day you receive your confirmation. You will receive a receipt of payment once we have received your payment. This is when you are confirmed for the market.

Ashfield Public School P&C have limited equipment for hire that can be ordered on your application form. We welcome all stall holders to bring their own marquee and weights, table, chair, clothes rack or umbrellas. These structures must be weighted down or securely anchored so they do not fall on anyone or blow over. Tent pegs are not permitted on Ashfield Public School grounds. 

Application process 

Applications are always open for Ashfield Community Market. Please complete the application form and provide all relevant documents as required. 

There are a limited number of stalls on the day. Some stallholders may miss out this time. 

We will review your application on suitability and an offer will be made via email. Once you receive an offer, please pay for your stall by the due date noted on your invoice. 

Payment will secure your stall. Non-payment may result in your place being offered to another stall holder. 

 

Stallholders at the Ashfield Community Markets are approved at the discretion of the P&C Committee. Acceptance to participate in the Ashfield Community Markets also acknowledges you agree to the terms and conditions set out in this document. 

Please note, in the application form you will be asked to attach: 

  1. Copy of your Certificate of Currency with a minimum of $20M Public Liability

  2. A fully disclosed product list and photos of your stall set-up and products

  3. Food vendor requirements: All vendors (including children) intending to sell any type of food or drink at the markets must comply with all NSW Food Authority Guidelines for operating a temporary food outlet.   4. Please provide the required documents with your application - your application will not be processed without the required documents.

Event times and entry points 

Event Hours: 10 am to 3 pm. 

 

Bump-in: Stall holders can bump in from 7am -9:15am on event day. 

There are two entry points to the school grounds via Murrell Street; through the gate (halfway down the street and next to the canteen) or the bottom driveway gates, to the right of the roundabout (next to demountables) 

 

A bump in time and location of the stall will be emailed to you no later than a week before the market. 

 

Note: There is no vehicle access onto the school grounds. We encourage you to use a hand trolley or a wheely cart to bring items onto the grounds. 

Upon arrival, stallholders will be directed to their site by market coordinators. A “loading zone” will be set up and you’ll be asked once you’ve finished unloading to move your car out of this space. 

Please strictly adhere to your bump-in time - you will not be accepted into the loading area prior to your allocated time. 

Depending on the flow of traffic, you may be asked to wait until we have the space. 

 

Bump-out: From 3 pm when the event is over. However, should stallholders wish to leave the market prior, please let the market coordinator know before the day. No vehicle access will be allowed on site. 

Parking

There is very limited street parking adjacent to the school grounds and discourage parking in Murrell Street; however, 400m down Liverpool Road is Wests Ashfield Leagues Club where you can park for free for the day. There is also street parking available south of Ashfield Public School.

Waste Management

All rubbish to be removed 

All stall holders taking part in the Ashfield Community Market are encouraged to use biodegradable, recyclable products and packaging where possible. 

Please do not bring plastic bags that don't comply with the NSW Govt Environmental Protection Authority’s new plastic bag policy. 

 

The market provides bins for market day general rubbish, but stall holders MUST take unsold goods and rubbish with them when leaving. Market bins are not for the disposal of unsold goods. 

 

Stall holders are responsible for leaving their site and surrounding area clean, tidy and undamaged. We please ask that you use floor covering where possible so the school grounds aren't damaged. 

Balloons

While we do understand that balloons are a fun promotional material for children, we have decided to prohibit the use of balloons for all stallholders. Any balloons displayed at the market will be removed by the market organisers on the day. 

For advertising or a product launch, perhaps use a dancing inflatable figure, flags, streamers or bunting which can all be reused! Other ideas are to use a bubble machine, paper pom poms, colourful flags, banners, pinwheels or streamers.

Power 

Power is limited to food vendors only so please ensure you indicate your need for power on your application form. The purpose for power also needs to be provided to ensure we can locate your stall in the most appropriate spot. 

Stall holders requiring power must only use power leads that are tested and tagged. Stall holders found with non-complying or unsafe appliances or cords will have power withdrawn without notice.

 

It is essential that extension leads do not present a trip-hazard to the public. Excess cords must be coiled safely within the stall and not accessible to the public. Exposed cords must be either covered with mats or taped with waterproof tape. 

Smoking and Vaping

Ashfield Public School grounds are smoke and vape-free zones. Please do not smoke or vape on or around the school grounds at any point of the event. 

Cancellations

There are no refunds. 

As this event is a fundraiser for the school, please consider your payment as a donation to support the children at Ashfield Public School. 

Any stall holder who cancels less than one week before the market, or does not attend on the day forfeits their stall fee. 

Wet Weather

Ashfield Community Market is an all-weather event. The market will only be canceled on the occasion of heavy rain/wind at 5:00 am, day of market. 

Heavy rain/wind is a safety concern for our stallholders and visitors. The weather in Sydney can be unpredictable. Should we need to cancel the market or downsize because of a severe weather event, we will send you a text message at 5am on the day. 

In the event of extreme weather, we will reschedule the market to another date and offer the space to our current stall holders. 

In all other circumstances, the market will be going ahead as per usual. We will be going ahead in conditions such as: 

● Light rain/wind on the day 

● Heavy rain/wind the day/night before 

● Predicted heavy rain/wind on the day but no occurrence of it 

Social Media 

We are offering stall holders of the market the opportunity to be featured on our Ashfield Community Market socials. Within the application form you can share more information about your business, service, product with us, for this purpose. In return, we would love to be featured on your socials where possible.
